Share ‘sent emails’ in iLearn Insights with unit convenor, tutor, marker and support staff
After an email message is sent through iLearn Insights, you might want to share that email with the unit convenor, tutor, marker or support staff associated with the unit. This can be done in two ways:
- BCC teaching staff
- View ‘Sent items’ page in iLearn Insights
BCC teaching staff
You can use the BCC field within compose an email to send one copy of the email along with confirmation of the number of successful emails sent to students. You can separate multiple email addresses using the semicolon character (;). For example, enter the following to send an email to your colleagues John and Jill: firstname.lastname@example.org; email@example.com. By default, your email address will be automatically added to this field. In case if you do not want to receive a copy of the email you can always remove your email from the BCC field.
BCC will be helpful when you want to share a copy of an email sent through iLearn Insights with tutors, markers and/or any support staff associated with the unit.
View ‘Sent items’ page in iLearn insights
‘Sent items’ page in iLearn Insights lists all emails on one page along with some key observations, such as reporting on the number of your students opened or did not open your email. This will reduce your effort to keep track of all emails, sharing emails between unit convenor, tutor, marker, and support staff. Looking into the trend of opening the email by your students will help you to decide how many days you should allow for most of your students to open your next email. Of course, the number of students isn’t opening the email will still be a concern and probably we all need to put effort to find a solution towards it.
This functionality can be accessed from the ‘Sent items’ menu as shown below:
‘Sent items’ page include:
- email subject
- email type
- sender name
- sent on
- email opened vs total email sent
- link to the ’email details’ page
‘Email details’ page for a particular email includes:
- date and time email were sent
- total emails sent
- number of students opened
- number of students did not open
- a chart to show the date and time students opened
- a chart to show the percentage of students opened vs did not open
- a copy of the email
Accuracy of the report
There might be some exceptional cases such as students forwarded their email to their personal email address (non mq email address), iLearn Insights might not be able to identify as ‘opened email’. As ’email open’ happens outside iLearn Insights, it is extremely difficult to report with 100% accuracy. I have tested with some test students and it reported correctly. Let us all test this report over the next half session and decide if it reports correctly.
